HubSpot to GoHighLevel Migration, Without Losing Your Pipeline

I move contacts, companies, deals, and pipelines out of HubSpot and into GoHighLevel, rebuild the workflows and templates that cannot be exported, and test everything before your team switches over. Quoted individually, as custom scope.

What Moves Cleanly From HubSpot

The data itself is the easy part. HubSpot exports contacts, companies, and deals as CSV files, and GoHighLevel imports them. The work is in cleaning the data before it lands, so you do not import five years of duplicates and dead leads into a fresh account.

Contacts

Name, email, phone, company, lifecycle stage, lead status, owner, and custom properties export as CSV and import into GoHighLevel contacts. I dedupe by email first, because most HubSpot accounts carry the same person two or three times.

Companies

Company name, domain, industry, and size come across. The link between a contact and its company has to be rebuilt after import, using domain or company name as the match key.

Deals and pipelines

Deal name, amount, close date, pipeline, and stage map to GoHighLevel opportunities. One HubSpot pipeline becomes one GoHighLevel pipeline, with stages in the same order.

Lists as tags

Static lists become tags in GoHighLevel. Active lists, which update themselves in HubSpot, become saved filters or smart lists built from the same rules.

Email templates

HubSpot templates export as HTML. I rebuild them in the GoHighLevel email builder and swap HubSpot personalisation tokens for GoHighLevel custom fields, one by one, so nothing sends with a blank first name.

Tasks and notes

Open tasks and notes export and can be attached to the right contact in GoHighLevel. Closed tasks usually stay behind as a record, because moving years of done tasks adds noise, not value.

What Has to Be Rebuilt by Hand

HubSpot automation does not export. Anyone who tells you a HubSpot migration is a one-click import is only talking about the contact list. The workflows, sequences, and scoring rules that run your follow-up have to be rebuilt, trigger by trigger, in GoHighLevel.

Workflows

HubSpot workflows do not export. Every enrollment trigger, delay, if/then branch, and internal notification gets rebuilt as a GoHighLevel workflow. This is where most of the migration time goes, and it is the part you cannot skip. A workflow rebuilt from memory, not from the original, will miss branches.

Sequences

Sales sequences, the timed series of emails and tasks a rep sends to a prospect, become GoHighLevel workflows. The send timing, the wait between steps, and the stop conditions are set again by hand.

Forms

HubSpot forms do not carry over. I rebuild them as GoHighLevel forms or surveys, map each field to the right contact field, and point your website at the new form. Old HubSpot embed code on your site gets replaced.

Lead scoring

HubSpot scores leads on behaviour and fit. GoHighLevel has no matching score built in. I rebuild the scoring logic with tags and workflow rules, so hot leads still get flagged the same way.

Reports and dashboards

HubSpot reports stay in HubSpot. The numbers your team actually checks each week, pipeline value by stage, leads by source, bookings by rep, get rebuilt as GoHighLevel dashboards and opportunity views.

Custom objects

If you built custom objects in HubSpot, there is no direct match in GoHighLevel. I map them to custom fields, tags, or a second pipeline, depending on what the object actually holds.

What Gets Lost If the Export Is Done Badly

A bad export does not usually fail loudly. It fails quietly, weeks later, when someone notices a deal is missing or a lead stopped getting follow-up. The things I check before cutover:

  • ▸Email engagement history. Opens and clicks live in HubSpot and do not import. If you need to know who opened what, export it before you cancel HubSpot.
  • ▸Deal stage history. GoHighLevel shows the current stage, not the path a deal took to get there. The history stays in your HubSpot export file.
  • ▸Contact associations. A contact linked to two companies, or a deal linked to three contacts, can land in GoHighLevel with only one link intact unless the export is matched on record IDs.
  • ▸Unsubscribed and bounced contacts. If these come across without their status, your first GoHighLevel email send can go to people who already opted out. I filter them out before import.
  • ▸Workflows that were switched off. A workflow that was paused in HubSpot still exists, and someone will ask why it stopped. I list every workflow, on or off, and we agree which ones get rebuilt and which ones get retired.

How the Migration Runs

Most migrations take 2 to 6 weeks. Your team keeps working in HubSpot while I build in GoHighLevel, so there is no dead week where nobody can follow up a lead.

Step 01

Audit the HubSpot account

I list every contact property, pipeline, workflow, sequence, template, form, and list you actually use, and which ones are dead. This list becomes the scope and the quote.

Step 02

Map and clean the data

Each HubSpot field is mapped to a GoHighLevel field. Duplicates are merged, dead leads are left behind by agreement, and unsubscribed contacts are filtered out before import.

Step 03

Rebuild and test

Workflows, sequences, forms, and templates are rebuilt in GoHighLevel and tested with real test contacts: form fill, workflow trigger, email send, calendar booking, pipeline move.

Step 04

Cutover and handover

On the agreed date I run a final export to catch last-minute changes, switch the team over, and leave HubSpot running read-only for a few weeks. You get handover notes and a walkthrough, plus 30 days of post-launch support for bug fixes and small tweaks.

Related work: GoHighLevel setup and GoHighLevel automation cover what gets built inside your new account once the data is in. The full migration list is on the GoHighLevel migration page, and the hub is at GoHighLevel setup and automation.

HubSpot Migration Questions, Answered

Migration is quoted individually as custom scope, because no two HubSpot accounts are the same size. The price depends on how many contacts, deals, pipelines, workflows, and templates you have, and how much of it needs rebuilding rather than importing. You get a fixed quote before work starts. GoHighLevel software itself is paid separately to GoHighLevel: Starter $97 a month, Unlimited $297 a month, Founder $497 a month (formerly Agency Pro / SaaS Pro), with a 14-day free trial. Usage for SMS, email, and calls is billed separately.

Most migrations take 2 to 6 weeks. A small account with one pipeline and a few workflows can move in 1 to 2 weeks. A large account with several pipelines, dozens of workflows, and years of data takes longer, mostly because of the workflow rebuild and testing. Your timeline is agreed before work starts.

Not if the export is done properly. Contacts, companies, and deals export from HubSpot as CSV and import into GoHighLevel. What gets lost is usually history: email open and click history, deal stage history, and activity timelines do not carry over. I keep a copy of that history in an export file, and I keep HubSpot open in read-only mode for a while after cutover so nothing is unreachable.

No. HubSpot workflows have no export format that GoHighLevel can read. Each one is rebuilt by hand as a GoHighLevel workflow. I read the original workflow first, list every trigger, delay, branch, and action, and rebuild from that list. That is the only way to be sure a branch was not missed.

Templates export as HTML and are rebuilt in the GoHighLevel email builder, with personalisation tokens remapped to GoHighLevel custom fields. Sequences are rebuilt as GoHighLevel workflows with the same timing and stop rules. Both are tested with real test contacts before they go live.

Yes. Your team keeps working in HubSpot while I build in GoHighLevel. The cutover happens on an agreed date: a final export catches anything that changed since the first import, the new workflows are switched on, and HubSpot is left running in read-only mode for a few weeks as a safety net.

Thinking of Leaving HubSpot for GoHighLevel?

Tell me how many contacts and deals you have, how many workflows run your follow-up today, and what is pushing you to move. I will come back with a scope, a timeline, and a fixed quote, with no obligation.
