Methodology

How this calculation works

No-show cost is easy to underestimate because the diary looks full. This calculator uses only three numbers you already know — how many appointments, how many do not show, and what one is worth — and shows both the loss and the recovery at a realistic target rate, not zero.

Lost revenue = appointments × no-show rate × booking value. Recovered revenue = appointments × (current rate − target rate) × booking value.
What to do next

Turn the number into a decision

  • ▸A target of half your current rate is a realistic first goal, not a promise of zero no-shows.
  • ▸Confirmations, reminders and easy rescheduling are the usual levers — a missed slot that is rescheduled is not a lost slot.
  • ▸If your booking value varies a lot, use a weighted average, not your most expensive service.

Questions about this calculation

It varies by industry, but 15–25% is common without reminders. With confirmations and reminders, many service businesses get it well below that.

A confirmation at booking, a reminder before the appointment, and an easy reschedule link turn a forgotten appointment into a kept or rescheduled one.

It can help, but it is a business decision, not a technical one. Reminders and rescheduling usually recover more goodwill than fees alone.

Life happens — illness, traffic, emergencies. A realistic target is half your current rate, then improve from there.
